Space Allocations — Overview and Management

Space allocations allow managers to assign desks, rooms, or parking spaces to specific users on a fixed or recurring schedule.

Space allocations are useful when a workspace needs to be assigned to the same user regularly, without requiring them to create individual bookings.

Who can manage space allocations?

Managers can:

  • Create space allocations for users

  • Assign spaces on selected days of the week

  • View and manage existing allocations

  • Edit or reassign allocations

  • Manage multiple allocations from one place

  • Use Auto-assign to help with larger allocation setups

End users cannot create space allocations themselves.

They can, however, view spaces allocated to them and release an allocated space for a specific day when they do not plan to use it.


Managing Space Allocations

Space allocations are managed from the dedicated Space allocations page in Building management.

Go to:

Building management → Space allocations

From this page, managers can view users and spaces and manage their allocations centrally instead of opening and configuring individual spaces.

The page provides tools for searching, filtering, assigning, and reviewing allocations across the selected building.



Creating and managing space allocations

From Space allocations, managers can assign available spaces to users and define the days on which each allocation applies.

The page displays:

  • Users available for allocation

  • Assigned and unassigned users

  • Available spaces

  • Existing space allocations

  • Days of the week associated with each allocation

To assign a user to a space:

  1. Find the user in the people panel on the left.

  2. Find the required space in the space list.

  3. Drag the user onto the space.

  4. Select the days of the week when the allocation should apply.

  5. Repeat the process for any additional users or spaces.

  6. Click Save changes to apply the changes.

You can use the available search and filter options to find specific users or spaces more easily.


Finding assigned and unassigned users

The people panel on the left side of the Space allocations page provides three views:

  • All — displays all available users

  • Unassigned — displays users who do not currently have a space allocation

  • Assigned — displays users who already have a space allocation

You can also use Search people to find a specific user.

This makes it easier to identify users who still need to be assigned a workspace.


Filtering spaces

Managers can use the controls at the top of the Space allocations page to narrow down the spaces displayed.

Available options include:

  • Search for spaces or people

  • Filter by space type

  • Filter by space group

  • Filter by department

The page also shows the number of spaces displayed and how many of them currently have allocations.


Bulk Space Allocation Management

The Space allocations page allows managers to work with multiple users and spaces from a single view.

Instead of configuring allocations individually within each space, managers can use drag and drop to assign users directly to the required spaces.

Existing assignments are displayed next to each space together with the applicable days of the week, making it easier to review and adjust multiple allocations.

For larger allocation setups, managers can also use Auto-assign.


Using Auto-assign

The Auto-assign functionality helps managers assign users to available spaces when working with larger numbers of users and workspaces.

Use the available filters to define the relevant users and spaces, then select Auto-assign.

Review the proposed allocations and make any required adjustments before clicking Save changes.


Viewing Space Allocations

For Managers / Admins

Go to:

Building management → Space allocations

Here, managers can see users and their current space allocations.

Existing allocations show:

  • The assigned user

  • The allocated space

  • The days of the week when the allocation applies

Managers can use the search and filtering options to locate specific users or spaces and adjust allocations as required.


For End Users

Users can see spaces that have been allocated to them in the Spaceti mobile or web application.

Allocated spaces are also visible on the map.

Users can select an allocated space to see its details, including the relevant space and allocation information.


Releasing an allocated space for a specific day

If a user does not plan to use their allocated space on a particular day, they can release it for that day.

Releasing the space:

  • Applies only to the selected date

  • Does not remove the recurring space allocation

  • Makes the workspace available for other users

We recommend releasing an allocated space when it is not required so that the workspace can be used by someone else.


Editing or removing space allocations

Managers can manage existing allocations from:

Building management → Space allocations

From the Space allocations page, managers can adjust existing assignments or the days on which an allocation applies.

After making changes, click Save changes to apply them.

For recurring allocations, changing an individual day does not require the allocation to be configured again directly within the space.

Users

Users can view spaces allocated to them and release an allocated space for a specific day when they do not need it.

Releasing a space for one day does not remove the recurring space allocation.
