What users report | What to check first |
They can log in, but cannot create a booking or activity. | Check whether the user has the correct department or user group. |
They cannot book spaces that colleagues can book. | Compare their department and user group with a colleague who has access. |
Workstations, rooms, parking spaces, or lockers are not bookable. | Check that the spaces have the correct space type and are connected to the correct space group, department, user group, and booking rule. |
Booking AI says no spaces are available, even when spaces appear available elsewhere. | Check the normal booking flow first. If spaces are not connected to the right space type or space group, AI may return no available options because the booking configuration cannot find eligible spaces. |
Spaces are missing from the map, search, or filters. | Check whether map visibility rules use departments and whether the user has one assigned. |
A newly synced user is missing from booking or allocation lists. | Check whether provisioning included the correct department and group membership. |
Some users in the same team have different access. | Look for duplicate department names, inconsistent naming, or missing group membership. |
Room panels and tablets
Room panels and tablets use the same booking configuration as the web and mobile app. If departments, user groups, space types, or space groups are not connected correctly, the tablet may show the room but fail when a user tries to book it.
What users see on the tablet | What to check first |
The tablet shows “Something went wrong” when booking. | Check that the booking activity is linked to the correct user group and that the room belongs to the correct space type or space group. |
“Find another space” keeps loading or shows a blank screen. | Check that alternative spaces have the correct space type and are available through the same department, user group, and space group setup. |
The room looks available on the tablet, but the booking fails. | Check both parts of the setup: the room must be assigned to the tablet, and the booking rule must allow the user’s department or user group to book it. |
The tablet cannot be activated with the expected space type. | Check that the space type exists and is configured before activating or reconfiguring the tablet. |
Good to know: A tablet can display a space but still fail to book it if the booking rule chain is incomplete. Always test booking directly on the tablet after changing departments, user groups, space types, or space groups.
