Automatic Profile Photo Synchronization with Microsoft Entra ID

Spaceti now supports automatic synchronization of user profile photos from Microsoft tools such as Outlook and Microsoft Teams.

Once enabled, employee profile photos are automatically kept up to date across the Spaceti platform without requiring manual uploads.


What this does

When users update their profile picture in Microsoft services such as:

  • Microsoft Outlook,

  • Microsoft Teams,

  • or other connected Microsoft 365 tools,

the updated profile photo is automatically synchronized into Spaceti during the next scheduled synchronization cycle.

This helps organizations maintain a consistent and centralized employee profile experience across systems.


How synchronization works

Profile photo synchronization runs automatically once per day, usually at:

2:00 AM UTC

If a user changes their photo after the daily synchronization has already completed, the new photo will appear in Spaceti during the next synchronization cycle.


Before you get started

To enable automatic profile photo synchronization:

  • Microsoft Entra ID (Azure) configuration is required,

  • and a one-time administrator setup must be completed,

  • create the support ticket, to let Spaceti setup the synchronization.


What this improves

This integration helps organizations:

  • maintain consistent employee profile photos,

  • reduce manual administration,

  • synchronize profile updates automatically,

  • and improve workplace directory visibility across platforms.

Employees no longer need to manually manage profile pictures separately inside Spaceti.


Manual photo uploads are automatically disabled

Once synchronization is enabled, users can no longer:

  • upload,

  • edit,

  • or delete profile photos manually inside Spaceti.

The application displays an informational message explaining that automatic synchronization is active.

This behavior applies to:

  • iOS,

  • Android,

  • and Web applications.


Administration protection

Manual profile photo editing is also restricted in administration.

Managers and administrators cannot manually change user profile photos from:

Users β†’ User Detail

while synchronization is enabled.

This prevents conflicts between manual uploads and automatic synchronization updates.

Need help?

If profile photos are not synchronizing as expected:

  • verify the Microsoft Entra ID setup,

  • confirm required Microsoft permissions,

  • check synchronization scheduling,

  • and verify the user photo exists in Microsoft 365 services.

If a recently updated photo is missing, wait until the next nightly synchronization cycle completes.
