Microsoft Places Integration Guide

Spaceti supports synchronization with Microsoft Places, allowing organizations to manage workplace resources centrally in Spaceti while enabling reservations directly through Microsoft tools.

Requirements

  • New MS Outlook integration enabled

  • Microsoft Places enabled in tenant

  • Supported Microsoft 365 tenant

  • Proper Microsoft permissions configured


For End Users

Employees can:

  • search for available spaces,

  • reserve desks,

  • reserve meeting rooms,

  • and view reservations directly inside Microsoft Places and Teams.

Bookings remain managed by Spaceti booking rules.


For Administrators

Administrators can:

  • synchronize buildings, floors, desks, rooms, and maps,

  • preview synchronization changes,

  • run manual synchronizations,

  • review synchronization email reports.

Synchronization reports include:

  • created resources,

  • updated resources,

  • failed resources,

  • warnings,

  • timestamps.

Space Approvals

If a space requires administrator approval in Spaceti:

  • The reservation will still appear in Microsoft Places immediately.

  • If the reservation is later rejected by an administrator/or automatically by Spaceti, the booking will be removed accordingly.

Default Booking Times

Spaceti default booking times configured in Spaceti for:

  • New Activity

  • Map booking flows

are not applied in Microsoft Places.

Instead, Microsoft Places uses its own default booking time configuration.

MS Places - Work hours and location setting

Check-in on Spaces

Spaceti check-in functionality for desks and rooms is currently not supported through Microsoft Places bookings.

Check-in in Place

Check-in in MS Places on the building, by pressing the violet button is not connected to any Spaceti functionality.

Users can also cancel the booking from the MS Teams, but the booking can not be modified.


Troubleshooting

Synchronization fails

  • verify Outlook integration,

  • verify Microsoft permissions,

  • verify Microsoft Places availability,

  • review synchronization email reports.

Resources missing in Microsoft Places

  • verify sync completed successfully,

  • verify building/floor assignment,

  • verify IMDF map upload.


Known Limitations

The following features are currently not fully supported:

  • Spaceti check-in workflows,

  • booking modifications,

  • approval-based reservation workflows,

  • Spaceti-specific booking duration settings.
