Insights Analytics Guide

Insights Analytics introduces event-level workplace intelligence reporting.

The Insights Analytics Dashboard provides enhanced event-level visibility, enabling workplace teams to analyze both aggregated trends and individual insight events across buildings, floors, and space types.

The analytics experience provides detailed visibility into issues such as unreserved occupancy, ghost bookings, and other workplace insights, helping organizations better understand how spaces are being used. Users can investigate specific events behind analytics trends, identify problematic patterns, and take targeted actions to improve workplace efficiency and resource availability.

How it works

The update includes support for filtering, sorting, pagination, and export of detailed insight data, while reusing existing UI components to provide a scalable and consistent analytics experience across the platform.

Insights filters and search

The top part of the Insights page consists of the following filters:

  • Building selector (one or many buildings)

  • Space type selector (one or many spaces)

  • Floors selector (one or many floors)

  • Insights event type selectors (one or many event types)

Insight types:

Initially, we are supporting three types of Insight events. Based on the tenant's feature configuration and sensor integration, we show the relevant insight types.

  • Unreserved occupancy

    • Insight type is available if the tenant uses the booking module and occupancy sensors.

    • Definition: A space is being used, but nobody booked it.

    • Spaceti compares each bookable space's actual occupancy against its booking record over the past hour. When a space shows meaningful presence (more than 10% average occupancy) but has no booking on the calendar, it's flagged as unreserved occupancy. This helps facility and workplace teams spot rooms that are habitually grabbed ad-hoc and surfaces gaps in booking discipline or booking-system adoption.

  • Ghost booking

    • Insight type is available if the tenant uses the booking module and occupancy sensors.

    • Definition: A space was booked, but nobody showed up.

    • For every booked space, Spaceti checks whether sensors detected any occupancy during the booked period. If the booking is active but average occupancy stays at zero across the hour, the meeting is flagged as a ghost booking. This makes wasted reservations visible — supporting policies like auto-release of unused rooms and giving facility teams data to reclaim capacity.

  • Stale air

    • Insight type is available if the tenant uses occupancy and air quality sensors.

    • Definition: A space has poor air quality even though it's empty.

    • Spaceti looks at CO₂ readings alongside occupancy. When a space is unoccupied for the past hour but CO₂ never drops below 1500 ppm, it's flagged as stale air — typically a sign of insufficient ventilation, lingering air from a prior meeting, or HVAC issues. This helps facilities ensure rooms are properly aired out before the next occupants arrive, improving comfort and wellbeing.

Insights trends:

The first tab shows the trend of the insights events over the selected period as a percentage. The value is either positive or negative and is calculated against the previous period, e.g. this week compared to last week, today compared to the previous business day, etc. A negative trend value means better results compared to the previous period, while a positive trend means worse results this period.

Insight events:

This section presents the list of events for the selected period in chronological order as they were populated. The recent events are on the top.

Frequently Asked Questions

Why don't I see all Insights categories in my workspace?

The availability of Insights categories depends on the data available in your workspace. Some insight types require specific data sources before meaningful insights can be calculated.

For example:

  • Ghost Booking and Unreserved Occupancy require both occupancy and booking data.

  • Stale Air insights require environmental sensor data.

If the required data is not available, the corresponding Insights categories may be hidden. This helps ensure that only relevant and actionable insights are displayed and prevents empty dashboards or reports from appearing.

As additional data sources become available in your workspace, more insight categories may become available.
