Understanding Workspace Statuses in the Occupancy Map

The Occupancy Map combines information from workspace sensors and workspace configuration to display the current status of desks and workstations.

Depending on the available data, different status labels may be displayed.


Workspace Statuses

Vacant

Vacant indicates that a workspace occupancy sensor is installed and currently reports that the workspace is not occupied.

What it means:

  • The workspace is monitored by an occupancy sensor.

  • No presence is currently detected at the desk.


In Use

In Use indicates that a workspace occupancy sensor is installed and currently detects presence at the workspace.

What it means:

  • The workspace is monitored by an occupancy sensor.

  • Someone is currently using the desk.


Offline

Offline indicates that an occupancy sensor is assigned to the workspace but is currently unavailable.

What it means:

  • The workspace has an occupancy sensor.

  • The sensor is temporarily offline or not communicating with the platform.

  • Real-time occupancy information is not available until the sensor reconnects.


Unknown

Unknown indicates that occupancy information is not available.

This may occur when:

  • A non-occupancy sensor is assigned to the workspace (for example, an environmental sensor).

  • The application cannot determine occupancy status.

  • On some iOS views, the status may be displayed when workspace visibility is restricted by organizational rules or department-based permissions.

What it means:

  • The platform cannot determine whether the workspace is currently occupied or vacant.


No Status Displayed

If no occupancy status is shown, the workspace does not currently have an occupancy sensor assigned.

What it means:

  • The workspace is not monitored by an occupancy sensor.

  • Real-time occupancy information is not available.


Booking Information vs Occupancy Information

It is important to understand that booking status and occupancy status are separate concepts.

Booking Information

Booking information answers the question:

"Has someone reserved this workspace?"

Examples:

  • Available Today

  • Booked Until 18:00

  • Reserved by a user

Occupancy Information

Occupancy information answers the question:

"Is someone physically present at the workspace right now?"

Examples:

  • Vacant

  • In Use

  • Offline

  • Unknown

Because these data sources are independent, a workspace can be:

  • Reserved but currently vacant.

  • Occupied without an active reservation.

  • Reserved while the occupancy sensor is offline.

This behavior is expected and helps provide both reservation visibility and real-time occupancy information.


Frequently Asked Questions

Why do I see "Vacant" on a reserved desk?

The workspace has an active reservation, but the occupancy sensor does not currently detect anyone at the desk.

Why do I see "In Use" on a desk that is not reserved?

The occupancy sensor detects physical presence, but there is no active reservation associated with the workspace.

Why does a desk show "Unknown"?

The system cannot currently determine occupancy status, or occupancy information is not available for that workspace.

Why do some desks have no status label?

Those desks do not have an occupancy sensor assigned and therefore cannot provide real-time occupancy information.
