Overview

The In The Workplace 2.0 update introduces a smarter way to manage employee presence.
Each user now has one daily work status per building/day, automatically determined by their activity in Spaceti — with the flexibility to manually override it when needed.

This enhancement helps teams plan their week more effectively and ensures accurate visibility of who is in the office.


Automatic Status Setting

The Spaceti system will automatically assign a daily work status for each user based on their bookings, meetings, or assignments.

Status Determination Logic

  • Any reservation (workspace or parking): → Status: In the office

  • Any meeting with a space reservation where the user is the owner: → Status: In the office

  • No bookings or meetings:Status: Not in the office

  • Weekends:Status: Not in the office (as working schedules for weekends vary per user)

Status Behaviour

  • Automatically updated in real time when relevant data changes (creation/deletion/edit of a space).

  • Locked after midnight — no changes can be made to past days.

Status Source Logic

  • Status is determined by the latest available source (the most recent data trigger).

  • Current source: Spaceti (based on bookings and manual inputs).

  • Future sources (planned): Microsoft Teams, Outlook, Google Calendar.

General Rules & Behaviors

  • Status is defined per calendar day.

  • Automatically set statuses are dynamically updated as bookings or meetings change.

  • The “In the Workplace” feature reflects and displays each user’s personal status.

  • A user may appear as “In the Office” without bookings if they manually set that status.

  • The Personal Status feature is:

    • Independent of the “In the Workplace” setting

    • Enabled for all users by default

    • Cannot be disabled via the “In the Workplace” toggle


Manual Status Override

Users can manually update their daily status whenever needed. This gives flexibility for days when plans change or when users need to adjust their visibility.

How to Use

  1. Open the In The Workplace module.

  2. Choose the current or future day you wish to edit.

  3. Select one of the following statuses:

    • In the office

    • Not in the office

  4. Save your selection.

    • Manual changes immediately override automatic logic for that day.

Behaviour

  • Manual updates are only allowed for current and upcoming days.

  • Past days remain locked after midnight.

  • Changing a booking or meeting can automatically update your future status, unless manually overridden.

  • Tablet / Kiosk: ❌ Not applicable


Notes

  • Integration with Outlook, Teams, and Google Calendar will expand automatic status sources in future releases.

  • Helps optimize workspace planning, attendance tracking, and collaboration visibility.
